  • 1Ask learners: 'What software have you seen people use to show pictures and text on a big screen in presentations?' Collect 3-4 responses (trotro/taxi advertisements, school assembly, church announcements).
  • 2Show a 20-second video clip or image of a PowerPoint presentation in action. Ask: 'What did you notice about how the information was displayed?'
  • POWERPOINT INTERFACE OVERVIEW
  • 1Project the PowerPoint home screen on the board using the projector. Point to and name the five main zones: File menu (top-left), ribbon with tabs (top), slide panel (left), main editing area (centre), and notes section (bottom).
  • 2Ask learners to open PowerPoint on their laptops. Pair learners: Kofi and Ama work together at one computer. Guide them to locate each zone on their screen while you highlight it on the projector.
  • 3Demonstrate clicking on the 'Home' tab. Show learners the buttons for Font, Alignment, and Bullet Points. Ask: 'What do you think happens if we click this button?' (point to Bold button). Invite Kwabena to click and observe.
  • 4Ensure all learners have access to a computer or share screens in pairs. Move around the room checking each pair can see the interface clearly.
  • EXPLORING THE RIBBON TABS
  • 5Click on each main tab one at a time (Home, Insert, Design, Transitions, Review) on the projector. For each tab, explain in one sentence what it does: 'Home is for editing text. Insert adds pictures and shapes. Design changes the look. Transitions add movement. Review checks spelling.'
  • 6Ask learners to repeat the clicking sequence on their own laptops. Instruct: 'Click Home, then Insert, then Design. Say aloud which tab you're on.' Listen for correct naming.
  • 7Show a blank slide and ask Yaw to come forward. Project his screen. Demonstrate adding text by clicking in the title box and typing 'My First Slide'. Ask learners to do the same on their laptops.
  • 8This is guided discovery - learners follow your lead exactly. Do not ask them to explore freely yet.
  • USING THEMES AND TEMPLATES
  • 9On the Design tab, point to the theme gallery (row of coloured boxes). Say: 'These are themes. Each one changes all the colours and fonts on your slide.' Click on a bright blue theme. Show how the slide background changed instantly.
  • 10Ask each learner to select a different theme from the gallery on their laptop. Call out: 'Abena, tell me the name of your theme. Haruna, what colour is yours?' Affirm their choices.
  • 11Show the 'New Slide' button on the Home tab. Click it twice. Ask: 'How many slides do we have now?' (Learners answer: three). Say: 'The second and third slides also have the same theme as the first.'
  • 12Keep this section concise - focus on the visual change, not design principles yet.

Exercise
  • 1Open a new PowerPoint file. Add a title 'My School' and change the theme to any colour you like. Save the file as 'MySchool_[YourName]'. Take a screenshot and show the teacher.

  • 1Display the file saved yesterday ('MySchool_[YourName]'). Ask: 'Whose file is this? What theme did they choose? Can anyone name two tabs we learned about yesterday?' (Expect: Home, Insert, Design, Transitions, Review).
  • 2Quick-fire questions: 'Click the Home tab. Click the Insert tab. Click the Design tab.' Observe who clicks accurately and who hesitates. Note struggling learners.
  • THE REVIEW TAB AND PROOFING TOOLS
  • 1On the projector, type a sentence with deliberate spelling errors: 'The scool selebrates Homowoo festival.' Ask: 'What's wrong with this text?' Learners spot errors. Then click the Review tab and point to 'Spelling & Grammar'. Click it. Show how PowerPoint highlights 'scool' with a red underline and suggests 'school'.
  • 2Ask learners to type a sentence on their laptops with one intentional error (e.g., 'I am studing Computing'). Have them click Review > Spelling & Grammar and watch the software find it. Ask Akosua to read her corrected sentence aloud.
  • 3Explain: 'The Review tab also has a Find & Replace button. If you typed 'Ghana' 10 times and want to change it to 'GH', you can replace all at once.' Demonstrate typing 'Accra' and using Find & Replace to change it to 'Tema'. Show the change happen live.
  • 4Proofing is a practical skill. Learners must see the red squiggly line and experience correction.
  • ADDING AND EDITING CONTENT ON MULTIPLE SLIDES
  • 5Display a 3-slide presentation. Slide 1: title 'My Chop Bar'. Slide 2: bullet points about menu items (Fufu, Waakye, Red Red). Slide 3: picture of food. Explain: 'Slide 1 is the cover. Slides 2 and 3 give information.' Ask: 'Which slide is the cover?' (Learners answer: Slide 1).
  • 6On Slide 2, demonstrate clicking after the word 'Fufu' and adding 'GH₵15' using the Home tab's text formatting. Show bold and bullet alignment. Then add a new bullet point 'Jollof Rice - GH₵12'. Ask Kwesi to add one more menu item with a price on his laptop.
  • 7Navigate to Slide 3 by clicking on it in the slide panel on the left. Insert a picture using Insert > Pictures. Show learners how the picture appears on that slide only, not on Slides 1 and 2. Ask: 'Does the picture appear on all slides?' (Answer: No, only on Slide 3).
  • 8This is deeper practice. Learners edit real content, not just click buttons. Use context of a Ghanaian chop bar.
  • ERROR ANALYSIS AND TROUBLESHOOTING
  • 9Show a PowerPoint with problems: a slide with text too large and cut off at the edge; another with a theme that makes text hard to read (bright text on bright background). Ask: 'What went wrong here? How would we fix it?' Learners identify that we need to shrink the font (Home > Font size) and change the theme (Design tab).
  • 10Deliberately make a mistake on screen: Try to delete text and accidentally delete the whole text box instead. Show the empty box. Ask: 'What happened? How do we get it back?' (Answer: Press Ctrl+Z to undo, or use Edit > Undo). Demonstrate pressing Ctrl+Z. Text reappears.
  • 11Ask Efua to come forward and edit a slide with you. Say: 'We want to change 'Accra Market' to 'Kejetia Market' in this slide. Should we use Find & Replace or click and edit manually?' (Discussion: manually is faster for one change; Find & Replace for many.) Let her make the edit using Find & Replace on the Review tab.
  • 12Show real problems and their solutions. This builds confidence in troubleshooting.

  • 4Sample 3-slide presentation file on teacher laptop (chop bar example)
  • 1Exit ticket: Each learner writes one thing they learned today and one question they still have about PowerPoint on a piece of paper. Examples: 'I learned to use Spelling & Grammar. I still don't understand themes.' Collect these to identify misconceptions.
  • 2Ask 3 learners to share their learning: 'Haruna, tell the class one tab you used today and what it does.'
Exercise
  • 1Create a 2-slide presentation about your favourite Ghanaian food. Slide 1: title with the food name and theme of your choice. Slide 2: three bullet points describing ingredients or price. Use the Review tab to check spelling. Save as '[YourName]_Food.pptx' and show the teacher.
